In small business, we often have BIG to-dos. Beyond our creative work (photography, design) we work hard to manage — and even grow — our businesses. When we begin each workday, we may feel pressured to do everything all at once — to work on all of the areas of our business simultaneously. We may wonder: How do we prioritize? How do we know when we’re “done” with a certain to-do?

Over the past four years at With Grace and Gold, we have developed a strategy for effectively managing our client work and our business. Today, we’re excited to share how time-blocking bettered our business and allowed us to effectively manage the diverse areas of our business!

How Time-Blocking Bettered Our Business

Before we dive into the ways time-blocking has bettered our business, we first have to explain what time-blocking means to us. To us, time-blocking is setting aside concentrated “chunks” of time to work on a single task (A Client’s Design) or a single type of task (Social Media Marketing). By focusing wholeheartedly on the task at hand for a pre-determined amount of time, we are able to:

  1. Create higher quality work. Because we are focused wholeheartedly on the task at hand, we are able to give all of our creativity, care, and attention to each task. Whether we’re working on a website design or managing our bookkeeping, there is something so powerful about 100% focus.
  2. Serve our clients better. Multitasking just isn’t something we love or believe serves our business — or our clients — well. When we serve each client, person by person, business by business, we are able to ensure we are serving our clients well. Time-blocking allows us to focus 100% on each client we’re serving, providing an all-around better experience. Our clients invest in our presence and care, and we love knowing we are providing exactly that!
  3. Ensure all the areas of our business are being managed. Finally, time-blocking allows us to ensure all the areas of our business are being managed: Emails, client experience, social media marketing, newsletter writing, bookkeeping, and business development. Time-blocking allows us to assign an hour, a few hours, a day, or days to each of these tasks, so we know each of these to-dos are being managed and touched on each week.


So, what does an average week at With Grace and Gold look like?

  • Monday:
    • Early Morning: Emails and To-Do List Review
    • Morning to Mid-Afternoon: Client Projects
    • Afternoon: Emails and Tomorrow’s To-List Review
  • Tuesday:
    • Early Morning: Emails and To-Do List Review
    • Morning to Mid-Afternoon: Client Projects
    • Afternoon: Emails and Tomorrow’s To-List Review
  • Wednesday:
    • Early Morning: Emails and To-Do List Review
    • Morning to Early Afternoon: Designer Lunch Hour Preparation and Hosting
    • Early Afternoon to Afternoon: Prospective Client Meetings and Client Meetings
    • Afternoon: Emails and Tomorrow’s To-List Review
  • Thursday:
    • Early Morning: Emails and To-Do List Review
    • Morning to Mid-Afternoon: Client Projects
    • Afternoon: Emails, Social Media Marketing for Next Week, Blogging for Next Week, Bookkeeping
  • Friday: Off — or — Big Project Development (If we have a big project in the works, Friday is the day we’ll focus on our big project. That way, it won’t interrupt our client work — and we can ensure we’re providing the same great client experience along the way!)


Of course, time-blocking will look different for every business… and this is simply what works well for us at With Grace and Gold!
